The role of the Executive Administrative Assistant is to coordinate and maintain executive office, assist the General Manager in all required functions, support the Leadership Team with Human Resource Administration and run the Social Media accounts for the property.
Provides administrative support and project management to the General Manager
Develops and prepares General Manager’s internal and external correspondence, proofed and ready for signature.
Prepares and distributes agendas and management minutes for the weekly management meeting and other meetings as required.
Coordinates and attends weekly management meetings and other meetings as required.
Prepares and records service recovery letters
Prepares and records Staff related letters and incentives; Employee of the Month letters, Anniversary letters and Birthday cards.
Maintains files in a chronological order and keeps them up to date.
Files and maintains records of Monthly inspection reports and summaries
Processes and prioritizes all phone calls (i.e., redirects the call, takes a message or offers voice mail messaging).
Manages projects to ensure their full completion, as assigned.
Having a thorough knowledge of our products and services.
Guest feedback: Reply’s to GEM & Braymark Surveys; distribute to department heads.
Health and Safety Committee: Takes a seat on the committee.
Human Resource Related Responsibilities:
Responsible for the employment process for the Millcroft Inn & Spa and recruitment and selection practices which includes:
Makes use of local job boards to promote and recruit
Vetting and distributing resumes to department heads
Pre-screens candidates and conduct first interviews
Perform reference check calls and queries
Reviews, tracks, logs, files and distributes resumes and response letters
Responsible for the on-boarding process at the Millcroft Inn & Spa
Start package completion
Property orientation, Company orientation and service first training programs.
Create and issue name tag
Maintain and secure on-property employment files
Receive record, circulate and file Progressive Corrective Action forms.
Social Media Responsibilities:
Maintaining regular posts on Facebook, Instagram and Twitter
Helping to generate usable content and sharing with other Company social media streams
Pushing marketing and recruitment content on all our social media, including local boards and pages
Our ideal candidate will possess:
Advanced knowledge of computer software programs such as Microsoft Office.
Ability to perform efficiently and effectively in time pressured situations.
Two (2) years experience in an administrative support role.
Ability to compose business correspondence.
Ability to set up and maintain effective filing (computerized/hard copy) system.
